3/12/2024 Yachats Lions Board Meeting Minutes
Meeting Start: 5:33 pm.
Attendees: David, Gerald, Shari, Kevin (via phone), Theresa, Jim, Alan, Phil, and Patty
Minutes:
Shari motioned to approve minutes with corrections, Theresa seconded, all say aye.
Treasurer’s Report:
Theresa shared due to the club website bill of $547 we had lost money; total income for February
was minus $5.65. As of 2/29/24, the administration account has $13,530.70 and the activities account
has $38,865.03. Total for both accounts is $52,395.73.
Gerald motioned to accept the treasurer’s report, Jim seconded, all say aye.
Thrift Store:
Since last meeting, Theresa was able to separate out the cost of phone and internet for the thrift store.
Thrift store income for February was $3042.29 and $969.97 expenses with a net income of $2072.32.
As of 2/29/24 the thrift store net income was $25,857.05. David said every member of the club was emailed a copy since the thrift store is an important source of income for our club. Shari commented that the jewelry donated to the club by Sarah Moore each week is a notable percentage of the thrift store income. Shari estimated that selling an average of 3 to 4 pieces a day at $18 per item, our sales for the jewelry is bringing in $2500 to $3000 for 12 months. She reminded the club that we should be grateful for this donation and not take it for granted. David suggested the club acknowledge both Sarah and Lou when it comes time for the awards dinner to thank them for their donations to the club. Shari and Patty shared that Sarah does not want any recognition. Michele reaffirmed we should work around what is comfortable to Sarah. David stated that we should at least acknowledge Sarah by a letter as her jewelry donation each week is the largest donation by one individual to our club. Theresa noted thrift store income for January and February was higher than normal and like what the store did during September/October months. Shari shared she, Peggy and Michele would like to have a costume jewelry “bling, fling” sale due to the large amount of costume jewelry the store has received over the last few years. It would be held at the hall on a Saturday afternoon in April or May. Kevin shared a similar event was held in Newport where they made over $25,000 on the event.
Sight and Hearing:
Michele shared she has several applications for exams and eyeglasses. She could not approve one of the applications because the individual’s income was too high. An applicant brought by Alan has been approved. Michele also gave June three applications for potential recipients. Michele said hearing aids and eyeglasses are on separate applications. Jim asked if sight and hearing gives us funds for money spent on hearing aids and eyeglasses. David said sight and hearing doesn’t reimburse for money spent. Jim reminded the club that money spent for glasses needed to be deducted out of the total funds for year-end disbursement. Jim and David suggested the club set up a budget for estimating eyeglass money needed for the following year. Theresa shared a vision exam is $90 and $50 to $100 for the glasses. David said OLSF labs in Portland charge much less to make the glasses than an optometrist’s office.
Meals:
David reminded all we need volunteers to sign up for April and May dinner meals.
Facilities:
Gymnastics group started in March and meet every Thursday afternoon for two hours. Their fee is $200 per month. David said he would check with June to confirm the club had liability certificate for this group.
Membership:
David reminded all again we need new members. He is asking at Lunch Bunch for new members as well as helping to set up and clean after. Gerald asked we keep in mind the cap on lunch bunch attendees for the hall seating restrictions. David said Lions served 49 people at Lunch Bunch this month.
Programs:
Pollis Buzzini is the next Sunday speaker on March 24th. Dr. Kelsey Terland will be the Sunday speaker in April.
Lori posted the meeting minutes and Sunday speaker calendar on the Lions website. David suggested we need a group to review Facebook, Yachats Lions website and the old Lions website to decide where best to post items and pictures. Kevin offered to help when David gets the group together.
Old Business:

New Business:
David reminded the club it is time to think about community grants/donations. As discussed at the last meeting, Jim will chair the committee. Kevin and Shari asked to be on the committee. Michele asked the committee to consider View of the Future. They now have a website up and trying to secure matching grants.
David met with Joanne Kittel. She is asking for a grant to buy a new computer, printer and a crm system. The cost is around $2000. Michele reminded the board any donation made by the club could be matched with equal funds. Michele shared she enjoyed Dick Brack’s presentation on the Yachats Memorial Park (cemetery) and felt the club needed to support the cemetery as it has been and will be in existence for a long time.
David shared a discussion he had with June. They felt the cemetery could be a project Lions could sponsor (aligns with Lori’s project proposal). The Lions could arrange and get volunteers for work parties and help raise donations from the community. Yachats Lions was responsible for the shelter enclosure currently on the cemetery grounds. David offered a church pew from his late Grandmother’s home that is not being used if the cemetery could use it. Shari reaffirmed this project is a good idea.
David shared Kevin’s information from last year on the club procedure for year-end money disbursements. David suggested creating a simple form for the community to request donations. Shari added the form needed to make it easy for the recipient to approach the club. Several members felt the current and new list of recipients needed to be reviewed and discussed. Shari reminded the board that Scholarships were separate from the community grants and needed to be discussed and decided on. Alan suggested we give money only to recipients that applied for funds as well as stating what the money will be used for. Jim shared to change, the club needs to be retrained in the new approach for distribution. David cautioned the club in how we transition to selecting the next list. David reminded us that the next two speaker meetings have been set aside for donors to come pitch their request. Kevin shared only 3 past donors didn’t respond back and there were several new applications requesting money. Gerald cautioned the club on not giving the wrong impression that Lions had more funds than normal to disburse. Members agreed.

David clarified that money given to some of these larger funded projects could go to smaller needs like the office. Michele hoped that any service project Lions takes on should be meaningful and have a positive purpose. She asked that we as individuals be open minded and accepting of visions and passions of others to be successful as a club. David reminded we all serve and provide service in many ways. The “bling fling” event will happen and was reaffirmed by several members. Jim requested the grants committee be appointed immediately. Kevin seconded the request. Jim, Kevin, Shari, Alan, David, and Lori will be on the committee. Jim brought up the question of definition of service as the club doing service versus helping the community as a service. Theresa and David reaffirmed that service can be viewed both ways. David used the example of the checks given to LCI are considered donations they allocate to disasters and relief. Jim asked for an estimate of funds we can allocate. Alan reminded the committee on the importance of phrasing and wording of any correspondence sent out. Michele reaffirmed that Jim and committee would do their due diligence in successfully completing this task. David reminded the club can fund an ongoing project that may see completion in more than one year. Jim asked the committee to be less than 10 to prevent confusion. Phil clarified from last year’s discussion that our community was from Newport and south. Discussion was whether community focused first on South Lincoln County vs. the Yachats Community.
